Meeting Room Policy
A community room and a reference room are available for use free of charge by community groups and organizations whose membership is composed primarily of residents of the Montgomery City area as well as educational and governmental institutions.
Use of the meeting rooms by groups is not an endorsement by the Montgomery City Public Library, its Board of Trustees, or staff.
The Montgomery City Public Library Board of Trustees shall have the final authority to regulate the use of the meeting room when conflicts arise between the use of the meeting room and the regulations outlined below.
According to 15 CSR 30-200.015, an age recommendation must be assigned for the meeting and included in any publication, website, or advertisement for the event. Age recommendations include All Ages, Children (ages 0-11), Young Adults (ages 12-18), and Adults (ages 18+).
The use of the meeting room is governed by the following conditions:
General
- Meetings shall be open to the public and normally fees or collections for admission may not be charged. Programs conducted by educational institutions may pass on charges for tuition and supplies to registrants.
- Age recommendations must be included in any publication, website, or advertisement for the event.
- The meeting room may not be used for social, retail, or commercial purposes.
- Light refreshments may be served provided the premises are left clean and orderly. No alcoholic beverages will be allowed.
- No smoking is permitted in the meeting room.
- Nothing is to be taped, tacked, or stuck to the walls.
- The Montgomery Library Corporation or the Montgomery City Public Library is not responsible for accidents, injury, or loss of individual property while using the facilities.
- Donations to cover the cost of maintenance of the free meeting room are appreciated, but not required, and can be made to the library at any time.
- Guns are not allowed.
Scheduling
- Application for meeting room use shall be made in writing to the librarian in advance of a meeting date.
- Library programs and library-related programs are given priority in the use of the meeting room.
Responsibility for Facilities and Equipment
- Organizations must assume full responsibility for damage to library facilities and equipment. An authorized representative of the organization must sign the Meeting Room Application before the meeting room can be used.
- Organizations must assume financial responsibility for lost keys/lock replacement.
Organizations must assume responsibility for conducting meetings in a manner that will not interfere with the library’s operation.
